Turn a vehicle requirement into a clear brief, a set of checks and a documented comparison.

Define what the vehicle must do

Separate essential requirements from preferences. Start with passenger or load needs, the journeys involved, access restrictions and any equipment the vehicle must accommodate. Then list the preferred model, trim, colour and convenience features. Keeping these lists separate makes alternatives easier to assess.

Set a realistic search area and timing requirement. Record whether you can wait for the exact specification or need an available vehicle by a fixed date. A written brief gives everyone the same starting point.

Ask for evidence about the actual vehicle

  • Confirm the registration or other identifying details and that the description relates to this vehicle.
  • Request recent photographs, service documentation and a clear condition description.
  • Ask which checks have been completed and which documents you can inspect.
  • Record accessories, keys and equipment included in the proposed sale.

A photograph helps you ask better questions but is not a substitute for checking condition. Where an inspection is needed, agree who will perform it, its scope and how any findings affect your decision.

Compare like with like

Use a simple comparison sheet with specification, condition, documented history, price and included items on separate lines. Make differences explicit: a newer vehicle with different equipment is not automatically a direct substitute. Leave room to record unanswered questions instead of guessing an answer.

Before committing

Obtain written terms for the purchase, delivery and any separate services. Confirm who the contracting seller is, how the vehicle will be handed over and which details still need verification. Keep the specification and agreed included items with the transaction documents.
